Step-by-step guide to completing the on-line scholarship application formAccess Scholarship Application Form (available from 1 August 2009) Applications for 2010 scholarships open on 1 August 2009 and close on 31 October 2009. Late applications cannot be accepted. An application fee is not charged for scholarship applications. Completing the on-line scholarship application form Step 1: Complete Personal Details section Step 1: Complete Personal Details sectionChange Password: you can change the password that you have chosen or had emailed to you. Your new password must be at least 6 characters in length. Click on 'Submit' button, then 'Back' button to continue with your application. Change Personal Details: you can update all of your personal details. Click on 'Save' button, then 'Back' button to continue with your application. Applicants who have registered using their Monash authcate username and password are required to change their details via the Monash Web Enrolment System (WES). Application type: if you are a new commencing student you need to select that your application is for Research Degree Admission and Scholarship. If you are already enrolled in a research degree program at Monash you need to select that your application is for Scholarship only. New Scholarship Schemes: indicate if you would like to be considered for the Monash University Equity Scholarship scheme and the Monash Indigenous Research Award scheme. If Yes, you will be required to upload the Monash Equity Scholarship supplementary form and/or Indigenous Australian confidential statement of support document in the Supporting Documents section. Previous HDR scholarship application (if applicable): if you have previously submitted a postgraduate research scholarship application, indicate the most recent year you applied. Previous Surname (if applicable): only complete if your present name is different from that on the transcript of your results or citizenship/residency papers. You will be required to attach appropriate legal documentation (eg deed poll certificate, marriage certificate) as evidence of your name change in the Supporting Documents section. Residency status: you will be required to attach documentary proof of your residency status in the Supporting Documents section (ie copy of your passport photograph page, birth or citizenship certificate). Students who have registered using their Monash authcate username and password are not required to attach documentary proof of residency status. Applicants whose residency status has changed are required to lodge a Change of residency status notification form with the University. Click on the 'Next Section' button to move on to the English Proficiency section. Step 2: Complete English Proficiency sectionAll applicants must satisfy the Monash University English language proficiency requirements. You need to indicate that you have read and understood the English language proficiency requirements before you can proceed to the next question. Note: studies in English are only accepted if the studies were undertaken in a country where English is an official language. The World Factbook states which countries have English as an official language. If you are unsure contact our office via email hdrschol@adm.monash.edu.au. You will be required to attach evidence of meeting the English language proficiency requirements if English is not your first language (ie TOEFL/IELTS test, letter or certificate issued by the University Registrar's Office confirming that the course was conducted entirely in English, evidence of successful completion of the Monash University English Language Bridging Program). Click on the 'Next Section' button to move on to the Qualifications and Research Experience section. Step 3: Complete Qualifications and Research Experience sectionCurrent/previous studies: only include qualifications undertaken since leaving school. Provide details of your current enrolment first (if applicable), followed by qualifications you have completed (from highest to lowest). If the country or institution is not included in the drop down box, please select 'Other' from the list. Once you have entered the details for your first qualification, click on the 'Save Qualification' button (note you cannot amend a record once it has been saved). To add another qualification, click on 'Add Another Qualification' button. To amend a saved qualification, delete the record and re-enter. Tip: Before deleting the record, copy the information to a word document to make required amendments and paste the corrected information into the new record. You will need to attach the official statement/academic record as issued by your university/institution for each qualification listed in the Supporting Documents section. The academic record should list all subjects attempted and all results obtained, proof of completion (except for a current enrolment) and an explanation of the marking/grading system. Students who hold a research masters qualification should attach the examiners' reports if available. If you have studied at Monash University, a printout of results from the Monash Web Enrolment System (WES) is acceptable. Students who have registered using their Monash authcate username and password are not required to provide details/evidence of their studies at Monash. Awards, prizes and scholarships (if applicable): include details of any awards, prizes and/or scholarships gained in your academic career. Once you have entered the details for your first award, click on the 'Save Award' button (note you cannot amend a record once it has been saved). To add another award, click on 'Add Another Award, Prize, Scholarship' button. To amend a saved award, delete the record and re-enter. Tip: Before deleting the record, copy the information to a word document to make required amendments and paste the corrected information into the new record. You will need to attach evidence of each award, prize and scholarship listed in the Supporting Documents section. Prior enrolment: indicate whether you commenced a research program which you did not complete in the last three years. For RTS purposes, any prior enrolment in the last three years at the same degree level (where the degree was not completed) is deducted from the maximum government funding entitlement for the University. If yes and your proposed field of study at Monash is the same or similar to your previous enrolment, prior candidature/enrolment may apply. You may attach evidence of your prior enrolment in the Supporting Documents section (optional). Employment and Research Experience (if applicable): only include details of any previous work or other experience that directly demonstrate your ability to undertake research. Once you have entered the details for your first employment and research experience record, click on the 'Save Experience Record' button (note you cannot amend a record once it has been saved). To add another record, click on 'Add Another Employment Record' button. To amend a saved record, delete record and re-enter. Tip: Before deleting the record, copy the information to a word document to make required amendments and paste the corrected information into the new record. Note: for a current employment record, leave end date blank. You will need to attach evidence for each employment and research experience record in the Supporting Documents section. Publications: provide details of publications (ie book, book chapter, journal publication, conference proceedings, reports etc) which have been accepted, are in press, or have been published. Once you have entered the details for your first publication, click on the 'Save Publication' button (note you cannot amend a record once it has been saved). To add another publication, click on 'Add Another Publication' button. To amend a saved publication, delete record and re-enter. Tip: Before deleting the record, copy the information to a word document to make required amendments and paste the corrected information into the new record. You will need to attach copies of conference abstracts and the front pages (including contents page) for each publication listed. In the case of papers accepted or provisionally accepted for publication, evidence of acceptance must be attached. Click on the 'Next Section' button to move on to the Research Program section. Step 4: Complete Research Program sectionProposed course of study: indicate the proposed course of study in 2010. If you are already enrolled in the research degree for which you are seeking scholarship support, provide details of your current enrolment. Attendance type: If you are applying for a part-time scholarship you will need to attach details of the compelling social reasons why you are unable to study full-time (including a medical certificate if applicable) in the Supporting Documents section. Expected commencement date: if you are offered a scholarship you must commence your research program and/or scholarship by 31 March 2010. In exceptional circumstances an awardee may be given permission to commence at a later date, however no later than 30 June 2010. If you are already enrolled in the research degree for which you are seeking scholarship support, indicate the expected commencement date of the scholarship and not the commencement date of your research program. Tip: Use the drop-down calendar instead of typing the date). Research title: indicate your proposed research title or area of interest. If you are already enrolled in the research degree for which you are seeking scholarship support, indicate your research title or area of research. You will be need to attach a research proposal of approximately 500 words in the Supporting Documents section. Referees: you will need to provide details of at least two referees who are qualified to speak with knowledge about your work during the qualification most relevant to this application and on your capacity for research. The academic unit will contact your referees directly to obtain a report, if required. Ensure your referees are contactable until mid-December. Note, you must enter details of at least two referees before you can continue to the next section. You can attach written references in the Supporting Documents section (optional). Click on the 'Next Section' button to move on to the Supporting Documents section. Step 5: Complete Supporting Documents sectionYou must attach supporting documents for each item listed, except for items marked as optional. If you are uploading a document in a language other than English, you must also provide an officially certified translation of the document. Monash prefers NAATI qualified translators. This page only allows you to upload one document for each section of evidence required. If you have multiple documents, you will need to combine the documents into a single file (eg Word or PDF) before uploading. Tip: if you do not have access to a scanner, take a photo of your document with a digital camera. Once all documents have been uploaded, click on the 'Next Section' button to move on to the Declaration section. Step 6: Complete Declaration sectionIf you are not already enrolled for the degree for which you are seeking scholarship support, you must present the original documents contained in this application at time of enrolment. Once you have ticked each item listed on the declaration section, click on the 'Save and Continue to Submission Page' button. Step 7: Submit ApplicationIt is strongly recommended that you review your answers before submitting your application as you will not be able to make any changes once submitted. You are encouraged to submit your application early to allow the academic unit time to assess your application and prepare the H1 Equivalence paperwork if required. Click on the 'Submit Application' button once you are satisfied that your application is complete. You will be sent an email confirming that your application has been successfully submitted. A PDF copy of your application (excluding attachments) will be sent with the email for your reference. Submitting additional documentsAdditional documents need to be submitted electronically via email to hdrschol@adm.monash.edu.au. You need to quote your Applicant ID number and clearly indicate which document you are submitting. Notification of resultYou will be sent an email advising of the outcome of your application on Monday 14 December 2009. The application numbers of successful applicants will also be posted on the Monash Research Graduate School website.
