Thesis submission checklist

Nomination of examiners

  • Nomination of examiners is arranged by the supervisor and Head of Department/Graduate Co-ordinator
  • The nomination form should be submitted to MRGS approximately 4-6 weeks prior to thesis submission 
  • Nominees should have informally agreed to act as examiner before the nomination form is submitted
  • Delays in the submission of the nomination form will delay the examination
  • Two external examiners to be nominated for a doctoral thesis; at least one external examiner for MPhil theses
  • At least one examiner should have proven experience of examining doctoral theses
  • Any possible conflict of interest should be declared (see 'Guidelines to apply on conflict of interest for examinationof higher degree by research thesis')
  • Examiner requests for extended time frames or other preconditions should be indicated on the form
  • Thesis copies

    • Four thesis copies must be submitted to Monash Research Graduate School
    • Copies must be either hard bound or professionally thermal bound (spiral bound NOT accepted) with the following printed on the spine:
                 i. thesis title
                ii. surname of candidate (first name optional)
                iii. abbreviation of degree (‘PhD’, ‘DPsych’, etc)  
                iv. year of submission
    • All thesis copies must include a general declaration with an original signature
    • Theses by publication must also include authorship declarations for each inserted manuscript 

    Statement by supervisor

    • The statement by supervisor form must be submitted with the thesis copies
    • The supervisor should certify that the thesis is the candidate’s work, referenced appropriately, properly presented, worthy of examination, within the word limit and that all relevant ethics clearance has been obtained
    • If required, permission has been sought to submit a thesis that exceeds the word limit via MRGS prior to submission
    • A 50 word thesis summary must be written in lay language and be suitable for the general public
    • Where the main supervisor is not able to continue supervision throughout the examination, a caretaker supervisor must be appointed and endorsed by the Head of Department

    Library Release/Thesis Contributor Agreement

    • The Library Release / Thesis Contributor Agreement form must be submitted with the thesis copies
    • The form should provide the candidate’s current contact details and specify access to the thesis in the university library and eThesis on the Monash University ARROW Repository
    • The form will need to be approved by the Head of Department before submitted to MRGS
    • Candidates who are required to submit an eThesis will also require to submit an eThesis Clearance form upon submission (see eThesis )
