eThesis Submission

What is an eThesis?

An eThesis is a digital copy of your doctoral thesis. All doctoral candidates enrolling as of 1st July 2005 are required to submit an eThesis at the conclusion of their examination. The eThesis will provide a primary record for archiving purposes. Please note that candidates enrolled under a cotutelle arrangement, Staff PhD, MD (unsupervised) and MPhil degrees are exempt from submitting an eThesis. Candidates submitting an eThesis may choose to publish through the Monash University ARROW Repository. You may consult the full Monash University eThesis Policy on eThesis submission.

Where will my eThesis be stored?

All digital theses submitted at Monash University are held in the Monash University ARROW Repository.

Copyright of the eThesis is retained by the postgraduate researcher. However, where candidates choose to publish their theses online Monash requires those candidates to grant a non-exclusive licence to Monash, enabling the University to publish the eThesis online in the Monash University ARROW Repository.

Publication online

Candidates choosing to publish their eThesis will need to ensure, prior to publication, that their thesis content does not breach copyright laws, privacy laws or any other conditions relating to ethics clearances or culturally sensitive contact included in the thesis.

Upon submission of the thesis for examination candidates are required to sign a Library Release/Thesis Contributor Agreement form, which serves as the publishing agreement between the candidate and the University. Through this agreement, the candidate provides certain warranties for the University, indicating that

  1. they have the full power and right to grant Monash the right to publish the thesis; and
  2. they have made all reasonable efforts to secure permissions from copyright owners for the online publication of whatever significant third-party material may be included within the thesis.

The Library Release/Thesis Contributor Agreement form is to be accompanied by an eThesis Clearance form which lists all significant third-party content within the thesis. Where a candidate chooses to publish online they must indicate whether permission has been secured or not, and include copyright holder contact details and or reasons for permission not being obtained.

Candidates are required to add two copyright notices to the preliminary pages of their thesis when they lodge it (these notices can appear along with the contents page, abstract etc.).

Under the Copyright Act 1968, this thesis must be used only under the normal conditions of scholarly fair dealing. In particular no results or conclusions should be extracted from it, nor should it be copied or closely paraphrased in whole or in part without the written consent of the author. Proper written acknowledgement should be made for any assistance obtained from this thesis.

What are the conditions of access


If a candidate chooses to publish their thesis via the Monash University ARROW Repository the entire thesis will be available to the worldwide research community. If a candidate chooses not to publish their thesis online other persons will only have access to the bibliographical details, title and abstract of the thesis. Access to the full text will only be made to authorised persons for non-commercial personal research purposes only. All eTheses abstracts will soon be exposed through Google and other resource discovery mechanisms. Subject to embargo, Monash University retains the right to supply the thesis in whole or in part under Section 51 (2) of the Copyright Act for document delivery purposes.

Embargoed theses

If the candidate elects to place a 3-year embargo on the thesis the candidate must still provide a full text file of their eThesis. The full text of the eThesis will be stored in the Monash University ARROW Repository and will not be published online. The title and abstract will be publicly available. To retain confidentiality, confidential material may be removed from the abstract of the eThesis.

Candidates may request a longer embargo than 3 years through the MRGS Steering Committee. Please direct these extended embargo requests to the Examinations Unit.

When do I submit an eThesis?

Candidates are required to submit the eThesis after the examination is complete ie. once examiners' reports have been received and changes (if any) have been made to the thesis. Candidates are required to lodge their eThesis in the Monash University ARROW Repository before submitting any amended thesis copies to MRGS. Candidates will not be awarded the degree until the eThesis and at least one final hardbound copy of the thesis have been lodged. Candidates are to submit the eThesis in the Monash University ARROW Repository by completing the online Deposit an eThesis  form.

Most examinations require amendments to be made to the Head of Department's satisfaction. Candidates will be asked to submit the eThesis before submitting the amended thesis copies to MRGS. For other examination outcomes, such as advisory panels or amendments to examiners, candidates will be advised when it is time to submit the eThesis. If a candidate has a straight pass, the candidate will be informed when MRGS sends out the examiners' reports.

eThesis file format

Candidates must convert the digital copy of their thesis to PDF format prior to submission in the Monash University ARROW Repository. Adobe Acrobat can convert files to PDF and has been installed in both the postgraduate study room at the Sir Louis Matheson Library and in the computer lab at the Monash Research Graduate Centre. eThesis file naming protocol

The PDF file should be named with the candidate’s given and family names strung together as one word. e.g. johnsmith.pdf.

How do I submit an eThesis?

  1. Convert thesis into PDF format.
  2. Read the Guide to submitting your eThesis into the Monash University ARROW Repository  . This will guide candidates through the online form which they are required to use to submit an eThesis.
  3. Complete the online Deposit an eThesis  form.
