eThesis Information
 

Guide to submitting your eThesis into the Monash University ARROW Repository

Before you begin submission, please ensure you have met the following conditions:
  1. Your thesis has been examined, your examiners' reports have been received and you have made the recommended changes to the thesis
  2. You have submitted a signed Library Release/Thesis Contributor Agreement and an  eThesis Clearance form.

Embargoed theses


If you elect to place a 3-year embargo on your thesis, you must still provide a full text file of your eThesis. The full-text file will be securely stored in the Monash University ARROW Repository but not published online. The title and abstract will be publicly available. To preserve confidentiality, you may remove confidential material from the abstract of your eThesis.

Format


The digital copy of your thesis must be converted to PDF format prior to submission. Adobe Acrobat software can convert your Word file to PDF and has been installed in both the postgraduate study room at the Sir Louis Matheson Library and in the computer lab at the Monash Research Graduate Centre. If a non-PDF format is required for the whole eThesis or certain parts of it, please contact etheses@lib.monash.edu.au to negotiate the inclusion of a non-standard format, e.g. audio/video.

File naming protocol


Create one PDF file and name it with your given and family names strung together as one word. e.g. johnsmith.pdf.

Step by step guide to submission

The deposit form is at: http://arrow.monash.edu.au/ethesis/submit 

All fields in the form are mandatory except for Phone and Comments. If a mandatory field cannot be filled in, insert n/a (for not applicable) and explain why in the comments field. Click on field names for more detailed instructions.

When you have completed the web form click Continue to move to the preview and upload files stage of the deposit process.

Step 1

Enter your Monash University Authcate username and password. Click Login.
Step 2. Instructions

On the Deposit an eThesis page, read the Instructions, which include information on deposit conditions, file format preparation, and file naming protocol
 
Step 3. Author Information

In Author Information, enter your family name and given names.

Select your faculty from the drop down box.

Enter your school/department/centre.

Enter your supervisor’s family name and given names.

Remember to click on field names for more detailed instructions
Step 4. Document Information

In Document information copy and paste your exact thesis title and abstract into the corresponding fields. There is no limit to the number of characters that can be entered into the abstract field.

Enter a keyword into the corresponding field. Type each keyword or phrase into a separate field. Begin each keyword with an uppercase letter.

Additional keywords can be added by clicking Add another keyword.

Enter the date of your thesis. This is the year of your award of degree, e.g. 2008.
Step 5. Copyright and access

Under Copyright clearance check ‘Yes’ or ‘No’ to the two statements.

Under Embargo status, confirm the level of access to your thesis, as ticked on your Library Release Agreement/Thesis Contributor Agreement.
Step 6. Contact details

Enter your email address, phone number(s) and any comments in the corresponding fields. If you were unable to complete any previous fields, include an explanation in the Comments. Please supply an email address which will be current for up to three years after deposit.
Step 7. Continue preview and upload files

Click Continue to preview the information you have supplied and then to upload your PDF file.

On the Preview eThesis information page, check the information you supplied is correct.

If edits are required click Change information and make the necessary alterations. This takes you back to the Deposit an eThesis web form. Once the information you have provided is correct click Continue to move to the upload files stage of the deposit process.
Step 8. Upload eThesis file

Find and select your PDF file(s) using Browse.

Click Upload file to upload your file and repeat this process for any subsequent files.
Step 9. Review or delete uploaded files

To review the uploaded file click View file or if you want to delete the uploaded file click Delete.

Once files have successfully been uploaded, click Continue to go to the final step in the deposit process
Step 10. Review and change eThesis information.

To review or change the information supplied click Review and change eThesis information.

To review or change the files supplied click Review and change eThesis file.

If you are satisfied with the information and files supplied for your eThesis deposit click Complete deposit to finish.
Step 11. Confirmation

Record your eThesis deposit identification number for future reference. If you have any questions or enquiries, email etheses@lib.monash.edu.au.

Before your eThesis is published into the Monash University ARROW Repository, it will go through a review process.
Step 12. Publication of your eThesis

Once your eThesis it is reviewed, it is lodged in the Monash University ARROW Repository.
